How to view property files Please follow the steps below to view a property file. What do I do if I want to see a property file? You must order the file before coming into council to ensure the correct information is available and that staff members are on hand to assist where necessary. Why must I request the property file before I come in? The file may need to be obtained from storage depending on the date of the information you request. Can I view property files online? Yes, you can. All you need to do is select the option 'View and download over Internet' while registering online. We will email you a link where you can download your property files. Can I order property files online? Yes. In the future you will be able to order LIMs online too.Where can I view a property file? You can view files at Environmental Services (level one, 521 Lake Road, Takapuna) usually within 24 hours of ordering. We will contact you if there is a delay. You will get the choice of viewing the files at our in-house kiosk, on hard file or you can order them on CD. There is a charge for each of these services so please have your credit card ready when ordering. Hard copy files are returned to storage immediately after they have been viewed so please ensure you have obtained all the information needed. Files not viewed immediately will be held for two days only. Please note the time your file will be ready for viewing to avoid the unnecessary cost of re-ordering. You are able to view the electronic property file for two weeks after you have paid to view it - on production of a receipt. What are the office hours? Our office hours are 8am to 5pm, Monday to Friday (excluding public holidays). Please ensure that you take the office hours into consideration when you are viewing your property file. If you wish to see a member of our advisory staff about your file you will need to have adequate time for both. Where can I park? Parking is available at the rear of and beneath the Environmental Services building at 521 Lake Rd. Access is from Huron Street. I am not familiar with computers or council systems, how do I view an electronic file? Computer tutors are available to assist customers wishing to view any electronic information. From March 19, 2001, the council has been storing property-related documents electronically, which means that from this date it is highly likely documents received by the council are only available on computer. Are files more secure when converted to electronic format? Yes. Bringing forward the completion date for file conversion will also greatly reduce the risk of loss or destruction of prime records; will make access easier and simpler for the public and staff; and will improve customer service significantly. Does the property file provide information about the rates payable, the Government Valuation and other legal definitions on a property? No, this is provided online through our GIS viewer.
